Privacy Policy

This website (nmariewilson.ai) is run by the office of Dr. N. Marie Wilson, Member of the Tamil Nadu Legislative Assembly for Dr. Radhakrishnan Nagar (R.K. Nagar), Chennai ("the Office", "we", "us"). It shares information about the MLA's work and lets members of the public raise and follow up on civic grievances.

This policy describes what personal data we handle, why, and the choices you have. We process personal data in line with the Digital Personal Data Protection Act, 2023 ("DPDP Act"), the Information Technology Act, 2000 and related rules. Under the DPDP Act the Office is the Data Fiduciary for the data described here, and you are the Data Principal.

  1. 1. Data we handle

    When you file a grievance (on the website form, through the chat or voice assistant, or by calling our contact centre):

    • your name and mobile number, and an email address if you choose to give one;
    • the constituency, optional ward number, the address of the issue and, if you choose to share it, a map pin or your device location;
    • the description of the problem in your own words, and any photos, documents or voice notes you attach;
    • for contact-centre calls, a recording and transcript of the call, kept as an internal note for staff.

    When you use the assistant: the messages you type or speak, and transcripts of voice conversations.

    When you browse: basic technical information such as browser type, pages visited, approximate time of visit, and counts of how often news posts are opened. Your browser also stores small items such as your language choice and chat progress on your own device.

    We do not ask for Aadhaar, bank details, caste, religion or health information. Please do not include such details in a grievance unless they are genuinely needed to resolve it.

  2. 2. Why we use it

    • to register, route, investigate and respond to your grievance, and to let you track it with its reference ID;
    • to contact you about your grievance by phone or message;
    • to understand where problems recur (for example drainage or road issues in a locality) and plan follow-up action;
    • to keep the website secure, prevent misuse and fix faults.

    We rely on the consent you give when you submit information, and on the legitimate uses permitted by Section 7 of the DPDP Act, including responding to requests you make and complying with law. We do not sell your data, use it for advertising, or use grievance data for election campaigning.

  3. 3. Automated tools and AI

    We use automated tools, including AI models, to transcribe speech, translate between Tamil and English, suggest a category and priority for a grievance, and summarise information for staff. These tools can make mistakes. Office staff review cases and make the decisions about how a grievance is handled; your original words are always kept.

  4. 4. Who can see your data

    • Office staff working on grievances, limited by role and constituency.
    • Government departments and officials responsible for the issue (for example the Corporation, water board or electricity board), to the extent needed to resolve it.
    • Service providers that host the website and database, provide maps and address lookup (Google Maps), and provide speech, translation and AI processing. They act on our instructions and may process data outside India where the law permits.
    • Authorities where disclosure is required by law, a court order, or to protect someone's life or safety.

    Grievances are never published publicly. Anyone with a reference ID can see its status and the Office's public replies, so please keep your reference ID private.

  5. 5. How long we keep it

    We keep grievance records for as long as needed to resolve the matter and for a reasonable period afterwards for follow-up, record-keeping and accountability, after which they are deleted or anonymised unless the law requires longer retention. Aggregated statistics that do not identify anyone may be kept longer.

  6. 6. Security

    We use reasonable safeguards, including encrypted connections, access controls by staff role, private storage for attachments, and activity logs. No online system is completely secure. If a personal data breach occurs, we will act and notify as required by the DPDP Act.

  7. 7. Your rights

    Subject to the DPDP Act, you may ask to:

    • get a summary of the personal data we hold about you and how it is used;
    • correct, complete or update it;
    • withdraw consent and have data erased, where it is no longer needed for the grievance or a legal purpose;
    • nominate another person to exercise your rights in case of death or incapacity;
    • raise a complaint with us, and if unresolved, with the Data Protection Board of India.

    Withdrawing consent does not affect processing already carried out, and may mean we cannot continue working on an open grievance.

  8. 8. Children

    The website is meant for adults. A person under 18 should raise a grievance through a parent or guardian. We do not knowingly track children or target them with content.

  9. 9. Contact and grievances about privacy

    To exercise your rights or ask a question about this policy, contact the Office through the details on our Contact page, mentioning "Privacy request" and your grievance reference ID if you have one. We aim to respond within 30 days.

  10. 10. Changes

    We may update this policy as the website or the law changes. The date at the top shows the latest version.
